How Loop handles personal data.

Last updated: 11 June 2026.

1. Who we are

Loop is currently operated by its founders and development team.

References to "Loop", "we", "us" and "our" refer to the individuals operating and developing the Service and, where applicable, any future company established to own or operate Loop.

Loop acts as the controller of personal data collected through this website, demo requests, free trial requests, contact forms and, where applicable, the provision of the Service.

2. Information we collect

We may collect information that you provide directly to us, including name, work email address, telephone number, company name, company website, job title or role, industry, business size, software stack, message content, demo or trial requirements, and any other information you choose to provide.

If you use Loop services, request demos, participate in trials or connect systems to Loop, we may also process information relating to connected third-party systems, configuration preferences, user permissions, operational settings, support requests, recommendations generated, actions selected and service usage records.

We may also collect limited technical information, including device type, browser type, operating system, IP address, approximate location, pages visited, referral source, cookie preferences and analytics information where enabled.

3. Information from connected systems

Where authorised by you, Loop may receive information from third-party systems connected to the Service.

Examples may include accounting platforms, CRM systems, email and calendar providers, telephony systems, HR platforms, inventory systems, marketing platforms and other software integrations selected by you.

You are responsible for ensuring you have the authority and legal basis required to connect such systems and share the relevant information.

4. How we use personal data

We use personal data to respond to enquiries, provide demos and free trials, prepare and configure trial environments, deliver and maintain the Service, understand the systems your business uses, improve the website and Service, provide customer support, maintain security, monitor and prevent misuse, keep records of requests and consent choices, comply with legal obligations and maintain operational continuity.

5. Operational continuity and Loop memory

To improve continuity of the Service and provide ongoing operational context, Loop may maintain records of risks identified, opportunities identified, recommendations generated, actions selected, outcomes observed, service interactions and relevant operational context.

These records help improve the usefulness and consistency of the Service over time.

6. Lawful bases

Under UK GDPR, we rely on one or more lawful bases, including contract where processing is necessary to provide requested services or take steps before entering into a contract, legitimate interests where processing is necessary to respond to business enquiries, improve the Service, maintain security and operate our business, consent where required for optional marketing communications or non-essential cookies, and legal obligation where processing is necessary to comply with applicable laws or regulatory requirements.

7. AI, simulations and automated processing

Loop may use automated systems, predictive models, simulations and AI-assisted processes to generate recommendations, forecasts and operational insights.

These outputs are intended to support human decision-makers and should not replace appropriate management oversight. Users should exercise independent judgment before relying upon recommendations generated by the Service.

Loop does not make legally binding decisions on behalf of individuals through fully automated means.

8. Data ownership and AI learning

Customers retain ownership of the business data they submit to Loop. Loop does not acquire ownership rights in customer data by virtue of providing the Service.

Loop does not sell customer data. Loop will not use customer data to train general-purpose AI models without the customer's consent.

To provide continuity, context and improved decision support, Loop may analyse customer data, recommendations, actions, outcomes and operational history within the customer's environment. This allows Loop to build an understanding of the customer's business, maintain operational context and improve the relevance of future insights, simulations, forecasts and recommendations for that customer.

Loop may maintain historical records of risks identified, opportunities identified, recommendations generated, actions selected and outcomes observed in order to support ongoing operational intelligence and business-specific learning within the Service.

9. Sharing and suppliers

We may share personal data with trusted suppliers and service providers who assist us in operating the website and delivering the Service.

Examples include providers involved in website hosting, cloud infrastructure, email services, analytics, customer relationship management, customer support, security and monitoring, payment processing and service delivery.

Suppliers must only process personal data on our instructions and must protect it appropriately.

10. International transfers

Where we use suppliers located outside the UK, we will use appropriate safeguards, including UK adequacy regulations, the UK International Data Transfer Agreement, international transfer addenda or equivalent contractual protections.

11. Security

We take reasonable technical and organisational measures designed to protect personal data against unauthorised access, accidental loss, misuse, alteration, disclosure and destruction.

No method of transmission or storage can be guaranteed to be completely secure, but we seek to apply appropriate safeguards proportionate to the risks involved.

12. Retention

We retain personal data only for as long as reasonably necessary.

Enquiry and trial request information is generally retained for the duration of the relationship and our legitimate business record-keeping requirements.

Where no commercial relationship begins, we normally delete or anonymise enquiry data within 24 months unless retention is necessary for legal obligations, security purposes, fraud prevention, establishing, exercising or defending legal claims, or resolving disputes.

13. Your rights

Under UK GDPR, you may have rights to access your personal data, request correction of inaccurate information, request erasure, restrict processing, object to processing, request portability of certain data, withdraw consent where consent has been relied upon, and lodge a complaint with the Information Commissioner's Office.
